How to calculate hours worked with lunch
Here is the math the calculator does for each day, using an 8:00 AM to 5:00 PM shift with a lunch from 12:00 to 1:00 PM.
- Clock-out minus clock-in. 5:00 PM is 17:00 in 24-hour time; 17:00 − 8:00 = 9 hours.
- Take off the unpaid lunch. 12:00 to 1:00 PM is 1 hour, so 9 − 1 = 8 hours worked.
- Turn minutes into decimals. Divide minutes by 60: 7 hours 45 minutes is 7.75 hours.
- Add up the week, then overtime. Hours over the daily limit, if you have one, are overtime first. The regular hours left are added up through the week, and any over 40 are overtime.
- Pay. Regular hours × rate, plus overtime hours × rate × 1.5.
With the sample week above, at $22 an hour: four 8-hour days and an 11-hour Wednesday make 43 hours. That is 40 regular hours ($880.00) and 3 overtime hours at $33.00 ($99.00), so $979.00 for the week.
A shift past midnight works the same way: 10:00 PM to 6:30 AM is 30:30 − 22:00 = 8.5 hours, and it counts on the day it started.
Minutes to decimal hours
Payroll and timesheets usually want decimal hours. Divide the minutes by 60.
| Minutes | Decimal hours |
|---|---|
| 5 minutes | 0.08 |
| 6 minutes | 0.10 |
| 10 minutes | 0.17 |
| 12 minutes | 0.20 |
| 15 minutes | 0.25 |
| 20 minutes | 0.33 |
| 30 minutes | 0.50 |
| 40 minutes | 0.67 |
| 45 minutes | 0.75 |
| 50 minutes | 0.83 |
Rounding to 6 or 15 minutes
Some employers round time to the nearest tenth of an hour (6 minutes) or quarter hour (15 minutes). The calculator rounds each stretch on the clock, the way the Punch Clock app does: 8:04 AM to 12:00 PM is 3 hours 56 minutes, which rounds to 4.00 hours at 15 minutes and 3.90 hours at 6 minutes. It doesn't round each punch on its own, so totals can differ by a few minutes from a time clock that does.
Two weeks and biweekly pay
Set the period to 2 weeks to total a biweekly time card. Overtime is still counted week by week: under the US Fair Labor Standards Act each workweek stands on its own (29 CFR 778.104), so 30 hours in week 1 and 50 in week 2 is 10 hours of overtime, not 0, even though the two weeks add up to 80. The Punch Clock app counts it the same way. For hours you already have as totals, the overtime calculator takes hours per day. Need a blank sheet to write times on? Print a weekly or biweekly timesheet.
Let the app fill in your time card
Punch Clock is a time clock app for hourly work. Tap to clock in and out, and the time card fills itself in as you go, with your pay adding up on the clock and the Lock Screen. The free app tracks your hours and pay at your hourly rate; overtime, unpaid breaks, rounding and pay periods are part of Pro, along with PDF and Excel timesheets a manager can sign. See pricing.
