How to fill in a timesheet

  1. Fill in the header. Write your name, your employer, the dates of the period and your hourly rate.
  2. Write each day's times. For each day you work, write the date, the job, and the clock-in, lunch out, lunch in and clock-out times. Leave lunch blank if you didn't take one.
  3. Work out the hours. Hours for the day are clock-out minus clock-in, minus the lunch. Write regular hours and overtime hours in their own columns, and the day's total.
  4. Total the week. Add each column for the week. On the biweekly sheet, total each week on its own line before the period total, because overtime is counted per workweek.
  5. Sign it. Sign and date the sheet, and have your manager sign the approved-by line.

Example: in at 8:00 AM, lunch from 12:00 to 12:30 PM, out at 4:30 PM. That's 8 hours 30 minutes on site, minus 30 minutes of lunch, so 8.00 hours. To add up a whole week without the arithmetic, type the times into the time card calculator, or switch it to 2 weeks for a biweekly sheet.

Printing tips

  • Use Print weekly or Print biweekly above, or File › Print (Ctrl+P, or ⌘P on a Mac). From File › Print, both sheets print, one per page.
  • Choose Letter or A4 and portrait, keep the scale at 100% or Default, and turn off the browser's headers and footers for a clean page.
  • On a phone, the PDF is the easiest way: open it and share it to your printer, or save it to fill in on a tablet.

Or let the app fill it in

A paper timesheet works, until you forget to write down a time. Punch Clock is a time clock app for hourly work: tap to clock in and out and every shift goes on your timesheet as it happens, with your pay adding up as you work. Text and CSV timesheets are free. With Pro, it works out overtime, breaks and rounding and exports a PDF timesheet with signature and approved-by lines, like this one but filled in.
