The math behind an hourly invoice
Each line is hours × rate. The subtotal is the sum of the lines. A discount comes off the subtotal, tax is added to what's left, and that's the total.
| Line | Hours | Rate | Amount |
|---|---|---|---|
| Fri, Sep 4 · 17:00–23:30 | 6.50 | $22.00 | $143.00 |
| Sat, Sep 5 · 16:00–23:45 | 7.75 | $22.00 | $170.50 |
| Total | 14.25 | $313.50 |
This is the invoice in the screenshot: two evening shifts for Harbor Café, no tax, net 30. Punch Clock works each line out with the same pay rules as your timesheet, so the lines add up to the subtotal to the cent. Overtime hours appear as their own lines at the overtime rate.
From timesheet to invoice in four steps
- Open the timesheet for the period you want to bill and choose the client's job.
- Tap Create invoice. The client, the period and every shift that isn't on an invoice yet are filled in.
- Add what the client needs: tax (and a second tax line if you charge two), a discount as a percentage or an amount, a PO number, extra items as quantity × rate.
- Share the PDF and mark the invoice Sent. When the money arrives, mark it Paid.
Shifts on an invoice are marked as billed and left off the next one, so the same hour can't be invoiced twice.
What goes on the invoice
- Your details: logo, business name, address, email, phone and tax ID.
- Bill to: the client's name and address, the project and the period.
- Lines: date, start and end time, hours × rate and the amount, right-aligned.
- Totals: subtotal, discount, each tax on its own line, and the total.
- How to pay: your payment instructions and a payment link (Stripe, PayPal.me or any web address) that opens when the client taps it.
Numbers run in order (INV-2026-014, INV-2026-015 …) and the currency comes from your settings, with an optional currency per client.
Clients who pay on a schedule, and clients who don't
Recurring invoices. Set an invoice to repeat weekly, every 2 weeks or monthly. On the due date Punch Clock creates a draft with the next period's unbilled shifts and the same fixed items, and lets you know. It never sends anything on its own.
Overdue reminders. When a Sent invoice passes its due date, you get one notification, such as "INV-2026-014 to Acme is 3 days overdue", with Mark paid and Share again right in it.
